We spent $60 last month on AI subscriptions: ChatGPT Plus, Claude Pro, and Perplexity Pro. That’s $720 a year to talk to robots about pallet racking. My accountant asked if this was necessary. I told her it was cheaper than hiring another estimator and more reliable than the one I had in 2019 who kept “forgetting” to account for freight. She entered it as software expense and we moved on.
The thing is, they’re not interchangeable. ChatGPT, Claude, and Perplexity are all large language models trained on essentially the same internet, but they’re good at different things. Using ChatGPT for research is like using a forklift to hang drywall. Technically possible, inadvisable, and there are better tools for the job. After six months of daily use across all three, here’s what actually works.
ChatGPT: The Calculation Workhorse
ChatGPT is best at math and repetitive tasks that follow consistent logic. Load calculations, material quantity takeoffs, cost estimating based on known parameters. Anything where the answer is deterministic and the methodology is established. It’s fast, it shows its work, and when you feed it the right constraints, it’s accurate enough that you only need to spot-check instead of recalculate everything yourself.
I use ChatGPT for beam deflection calculations when I’m pricing selective racking. Give it the beam profile, the span, the expected load, the same calculations required for NBC 2020 compliance it’ll tell you whether you’re within acceptable deflection limits or whether you need to go to a heavier section. This used to require looking up section modulus values, plugging numbers into formulas, and hoping you didn’t transpose a digit. Now it takes ninety seconds and I can iterate on different beam depths to find the most cost-effective option that still meets spec.
The other thing ChatGPT handles well is template-based content. Customer emails, follow-up correspondence, RFQ responses where you’re essentially filling in project-specific details in a standard format. It’s good at maintaining tone consistency, which matters when you’re sending a dozen emails a day and don’t want to sound progressively more exhausted as the afternoon wears on. I’ve trained it on our standard response templates. Fed it examples of how we communicate, what information we typically ask for, how we structure follow-ups. Now it drafts responses that sound like they came from our company instead of a bot that learned English from Reddit.
Where ChatGPT falls apart is nuance. If the answer requires judgment about things that aren’t in its training data (like whether a specific GC is worth working with, or whether site conditions match what’s shown on the drawings), it’ll give you an answer anyway. Confidently. Wrongly. I learned this pricing a project in Mississauga where ChatGPT assured me the floor slab thickness was adequate for our anchor loads based on the specifications provided. The specifications were from 1987 and the actual building had been modified twice since then. The floor wasn’t adequate. We caught it during site inspection, but if I’d trusted the AI and not verified, we would have shown up to install with anchors that wouldn’t hold.
The cost is $20 a month for ChatGPT Plus, which gets you access to GPT-4 and faster response times. The free tier works fine for basic tasks but you’ll hit rate limits quickly if you’re actually using it for work. The Plus subscription pays for itself if you’re using it more than a couple times a week.
Claude: The Document Analyst
Claude is what I use for anything involving documents, technical writing, or complex reasoning about information I provide. It handles long context better than ChatGPT. You can upload a 60-page submittal package and ask it specific questions about section 4.2.3, and it’ll actually find the relevant information instead of hallucinating an answer.
The killer application for Claude in material handling is submittal review. We get RFQs that include architectural drawings, structural plans, equipment specifications, and general contractor requirements spread across multiple PDFs. Claude can ingest all of it, identify conflicts between documents, flag missing information, and extract the specific requirements we need to quote accurately. What used to take three hours of cross-referencing drawings while making notes in the margins now takes twenty minutes and a series of pointed questions.
I also use Claude for anything involving our internal documentation. Our margin SOP, payment terms, installation procedures. I’ve uploaded all of it to a Claude Project so it understands our business logic. Now when I’m pricing a complex job, I can describe the parameters and ask Claude to apply our risk adjustments. It’ll tell me what our base margin should be, which risk factors apply, what the final margin percentage works out to, and why. It’s not perfect. Sometimes it misapplies a category or doesn’t catch an edge case. But it’s right about 85% of the time, which is better than I am at 2 AM when I’m trying to price a rush quote.
The writing quality is also noticeably better. ChatGPT writes clearly but generically. Claude writes with more sophistication and can match specific tones if you prompt it correctly. When I need to write a technical explanation for an engineer, a persuasive proposal for a procurement manager, or a firm but professional response to a GC trying to renegotiate payment terms, Claude handles the nuance better.
Where Claude struggles is real-time information. It doesn’t search the web by default, so if you need current pricing, recent code changes, or information about ongoing projects, it’s working from training data that has a cutoff date. You can enable web search in Claude, but it’s not as integrated as Perplexity. If you need research, use Perplexity. If you need document analysis or complex reasoning about information you provide, use Claude.
Claude Pro is also $20 a month. The free tier is usable but has much lower message limits. If you’re using it daily, you need Pro.
Perplexity: The Research Engine
Perplexity is the tool I didn’t know I needed until I had it. It’s essentially a search engine that returns synthesized answers with citations instead of just links. When you need current information, background on a project, research on a contractor, similar to the assessment work we do before major installation projects or verification of technical specifications, Perplexity is dramatically faster than traditional search.
I use Perplexity most often for due diligence before quoting. If I’m bidding on a project for a GC I haven’t worked with, I’ll search their name plus “payment issues,” “subcontractor complaints,” and “litigation.” Perplexity surfaces news articles, legal filings, and construction industry forums, then summarizes what it found with links to sources. Takes ten minutes. Saves potential months of payment chase-down or worse.
The other use case is code research. Building codes change, jurisdictions adopt amendments, seismic requirements get updated. Staying current is important and time-consuming. When I need to verify whether a specific requirement applies to a project in Vancouver versus Toronto, Perplexity can pull the relevant code sections, explain the differences, and cite the source documents. I still verify critical stuff directly, but for initial research it’s invaluable.
Perplexity is also excellent for competitive intelligence. Looking for comparable projects, researching what other material handling companies are doing, finding industry benchmarks. It surfaces information that would take hours to compile through traditional search. The citations are key because you can verify the source if something seems questionable, which happens more often than you’d like.
Where Perplexity disappoints is depth. It’s great at synthesizing surface-level information from multiple sources, but if you need detailed technical analysis or complex reasoning about the information it finds, you’re better off taking that information to Claude. Perplexity also occasionally presents conflicting information from different sources without clearly indicating which one is more authoritative. You need to evaluate the sources yourself, which is good practice anyway but means it’s not a completely automated research solution.
The Pro tier is $20 a month and gets you more queries, access to better models, and the ability to upload files for analysis. The free tier works but you’ll burn through your daily limit fast if you’re actually using it for work.
The Workflow Integration
In practice, I use all three in combination. A typical project pricing workflow looks like this:
Start with Perplexity to research the GC, verify any unfamiliar technical requirements, and check if there are any recent code changes relevant to the project. Pull comparable project information if available.
Move to Claude with the RFQ documents. Upload all the PDFs, ask it to extract key requirements, identify the scope of work, flag any ambiguities or conflicts in the specs.This is the same document analysis process we use in our warehouse design and engineering services, just accelerated. Have it cross-reference our margin SOP and suggest the appropriate base margin and risk adjustments based on project characteristics.
Use ChatGPT for the actual calculations. Material quantities, load verifications, preliminary cost estimates based on our current pricing. Iterate on different configurations to find the optimal balance of cost and performance.
Back to Claude for writing the actual proposal. Feed it the technical details, our pricing structure, and the specific tone needed for this client. Have it draft the proposal with appropriate detail and professional language.
Final review is still human. The AI tools handle maybe 70% of the work that used to be manual, but the judgment calls (whether to bid at all, how aggressive to be on pricing, what qualifications to include, which risks to flag explicitly) remain mine. The tools make me faster and more thorough. They don’t make me smarter about which projects to walk away from.
What It Actually Costs
$60 a month, $720 a year. For context, that’s roughly what we used to spend on estimating software that was clunky, required training, and locked us into their ecosystem. The AI subscriptions are cheaper, more flexible, and frankly more useful for how we actually work.
The return is harder to quantify precisely but directionally obvious. Quote turnaround time has dropped from an average of three days to less than one for standard projects. We’re bidding on more opportunities because the time investment per quote has decreased. Accuracy has improved because we’re doing more verification and less rushing. And I’m not working weekends anymore trying to catch up on proposals, which isn’t quantifiable but matters considerably.
The hidden cost is the learning curve. These tools are powerful but they require understanding their limitations, developing effective prompting techniques, and building judgment about when to trust the output and when to verify. That took months of daily use. The tools are easy to access. Anyone with $20 can subscribe. Using them effectively requires practice and willingness to learn from mistakes.
When They’re All Wrong
The most dangerous thing about AI tools is that they’re conversational and confident. When ChatGPT gives you a load calculation, it presents it clearly with supporting logic. When Claude analyzes a document, it speaks with authority. When Perplexity summarizes research, it cites sources. All of this creates an impression of reliability that isn’t always warranted.
I’ve had ChatGPT confidently calculate beam capacity using the wrong formula. I’ve had Claude misinterpret specification requirements because the language was ambiguous. I’ve had Perplexity cite sources that didn’t actually say what it claimed they said. In each case, if I’d accepted the output without verification, we would have either overbid and lost the job or underbid and lost money on the job.
The verification step is non-negotiable. For calculations, spot-check the math. For document analysis, confirm critical details directly in the source. For research, click through to the actual citations. The AI tools make you faster, but speed without accuracy is just fast failure.
What You Actually Need
If you’re only going to subscribe to one: get Claude. The document analysis and reasoning capabilities are most directly applicable to material handling work, and the writing assistance is legitimately useful for proposals and correspondence.
If you’re doing a lot of estimating and calculations: add ChatGPT. The mathematical capabilities and iterative calculation workflows justify the cost if you’re pricing multiple projects a week.
If you’re researching new markets, vetting contractors, or need current information regularly: add Perplexity. The research time savings compound quickly.
All three for $60 a month is less than one billable hour of engineering time, and they’re collectively saving me at least ten hours a week. The math is straightforward. The adoption curve is the harder part—learning which tool for which task, developing effective prompts, building trust calibrated to each tool’s actual reliability.
The Uncomfortable Future
Everyone in material handling has access to these tools now. The competitive advantage isn’t having them. It’s using them well. And increasingly, using them well means understanding what they can’t do as much as what they can.
ChatGPT can calculate load capacity but can’t tell you if the GC is going to be a nightmare to work with. Claude can analyze submittal packages but can’t assess whether the existing floor slab is actually as specified. Perplexity can research building codes but can’t evaluate whether the site conditions match the drawings.
The judgment, the experience, the pattern recognition from thousands of installations. That’s still human. The AI tools compress the mechanical work, the repetitive analysis, the information synthesis. What remains is the expertise that actually matters: knowing when the numbers are wrong even if the math is right, recognizing the warning signs that a project is going to be trouble, having the confidence to walk away from work that doesn’t make sense even when the AI says it’s viable.
We’re all using the same tools now. The ones who win are the ones who know what questions to ask, when to trust the answers, and when to trust their instincts over the algorithm. The technology is accessible. The wisdom to use it properly is not.
